How to use this tool

Tips for a better result

  • The tax rate is always yours to enterNothing is chosen for you from a country or a currency. If you are registered for VAT or GST, enter the rate you are required to charge and label it accordingly.
  • Check what your jurisdiction requires on the face of an invoiceMany countries require specific fields — a tax registration number, a sequential invoice number, particular wording. This tool does not know what yours are, so add them in the notes if they are missing.
  • Keep invoice numbers sequentialGaps and repeats in a numbering series cause problems at audit time in a lot of places. Pick a simple scheme and keep to it.
  • Save the PDF before you close the tabNothing is stored anywhere. Once the page is closed the invoice is gone, so save or print it first.

How the totals are worked out

The chain is fixed and shown on the invoice: subtotal, minus discount, plus shipping, plus tax, equals total. Each line is quantity times unit price, rounded once to the currency’s smallest unit. The subtotal is the exact sum of those lines. A percentage discount comes off the subtotal, shipping is added after it, and the tax rate is applied to that figure — which is why the invoice prints the tax base beside the tax line. Whether shipping should be taxed genuinely varies between jurisdictions, so rather than quietly picking a rule, the tool shows you exactly what it charged tax on.

Why the arithmetic is done in cents

Money held as ordinary decimal numbers drifts. In binary floating point 0.1 plus 0.2 is 0.30000000000000004, and an invoice built by adding those values can land a cent away from the right answer on perfectly normal data. So every amount here is an integer count of the currency’s smallest unit — cents for dollars and euros, whole yen for yen — from the first line to the total. Rounding happens at defined points only: once per line, once per percentage. Values like 1.005 that sit just below their decimal representation are converted by shifting the decimal string rather than multiplying, because multiplying rounds them down to 1.00 when 1.01 is what was meant.

What this tool is not

It is a document builder. It is not tax software, not an e-invoicing system, and not a compliance check. It does not validate tax registration numbers, does not know which fields your country requires, does not file anything, and does not connect to any accounting system. What your invoices must legally show varies widely between jurisdictions and can depend on what you sell and whether you are registered for a tax. Making sure the required fields are present is your responsibility; if you are unsure, an accountant in your country is the right place to check.

Is this a legally compliant tax invoice?

It is a general invoice template generator, not compliance software. How is tax calculated?

From the rate you enter, and only that. No rate is inferred from a country or a currency. The rate is applied to the subtotal after the discount and shipping, and the invoice prints that base next to the tax line so you can see exactly what was taxed.

Which currencies are supported?

Thirteen are built in: USD, EUR, GBP, ILS, AUD, CAD, JPY, INR, IDR, MXN, COP, PEN and CLP. You can also enter a custom code and symbol for anything else. Currencies without a minor unit, like yen and Chilean pesos, are formatted without decimals rather than with invented cents.

Does it convert between currencies?

No. It formats amounts in the currency you choose but does not fetch exchange rates or convert anything. An invoice built here is in one currency, the one you selected.

Can I use fractional quantities?

Yes. A quantity of 3.5 at 65.00 bills exactly 227.50, which is what you want for hours, part units or weights. The line amount is rounded once to the currency’s smallest unit.

What happens if the discount is bigger than the subtotal?

It is capped at the subtotal and the tool tells you it was capped. An invoice total never goes negative. Shipping and tax are still added on top of the discounted figure.

How do I get a PDF?

Use "Print / save as PDF" and choose "Save as PDF" as the destination in your browser’s print dialog. The printed output is the invoice alone, without the surrounding page.

Do I need an account, and is my data uploaded?

No account, and nothing is uploaded. The invoice is built entirely in your browser and is not stored anywhere — including by us — so save or print it before closing the tab.

How is this different from the tutoring invoice generator?
